Job Information

• Existing Service Contracts & Ad-hoc Work Working closely with our the existing Service Coordinator.
• Responding to email / phone calls for service & warranty requests.
• Arrange service visits with the end user / installing contractor / Agent For the indoor and outdoor pool market.
• Issue service visit report & quote for any remedial works that may be required from the visit within a 48hr period
• Keep customers spreadsheet up to date & history notes
• Ensure all paperwork relating to the service contracts are up to date, including RAMS, Account information & Insurances.
• Issue Proforma invoices as and when required.
• Prioritise service works / call-outs by allocating these based on contractual response times, urgency and customer location.
• Issue engineers with previous reports / information they may require for the job.
• Always keeping customers up to date with activities / actions

Remedial works
• Turn quotes around quickly by way of obtaining prices/lead times on the parts (either yourself or via the parts coordinator) and issue to the customer.
• Get correct purchase order format from the customer as per Company procedures
• Advise customer of work / account status & parts ETA
• Scheduling work for the engineer and keeping the customer up to date at all times
• Confirm Parts department has ordered and dispatched goods as per your instructions & scheduled date.
• Update service systems
• Chase service engineers for completed service reports & issue to customers.
• Raise service visit invoice for some customers.
• Monitor service activities for return visits required.

Service Team General Adhoc / Holiday Cover
• Take spares enquiries via email / telephone / post
• Liaising with our UK & Denmark Offices
• Check Account Status (credit or proforma)
• Administration within the department team as and when required
• Filing
